The Event Outreach Specialist is an entry-level individual contributor responsible for supporting the planning, coordination, and execution of commercial conferences, sales-led events, and roadshows on behalf of Parexel's MBD Inside Sales function. This role places a strong focus on aligning with Marketing for corporate-sponsored conferences and events, while partnering closely with Sales and Commercial stakeholders on sales-funded, sales-led, regional roadshows, client-facing programs, or regionally prioritized events and conferences.

The Event Outreach Specialist helps translate event and roadshow priorities into targeted pre-event, on-site, and post-event outreach activities, including messaging development, outreach flow creation, and coordination of event assets with Marketing, to drive client engagement, meeting generation, and new business opportunities.

This role works closely with the Senior Manager, Global Commercial Operations and Enablement, Marketing, Sales/Commercial teams, and the broader MBD Inside Sales organization to ensure event outreach is coordinated, commercially relevant, and aligned to global business priorities.

Key Accountabilities

Event Planning, Alignment, and Coordination

  • Support the planning and coordination of corporate-sponsored, sales-funded, and sales-led conferences and events under the direction of the Senior Manager, Global Commercial Operations and Enablement

  • Coordinate with Marketing on the creation, review, approval, and delivery of event-specific assets, including email copy, call scripts, social messaging, one-pagers, landing pages, campaign materials, and follow-up templates
  • Partner with Sales and Commercial stakeholders to identify, prioritize, and support sales-funded or sales-led events tied to account plans, regional priorities, therapeutic focus areas, and pipeline-generation goals
  • Support sales-led events and regional roadshows by helping define target accounts, priority contacts, outreach objectives, meeting goals, stakeholder roles, required assets, and follow-up expectations
  • Maintain an up-to-date calendar of planned corporate-sponsored and sales/commercial-funded events and conferences, tracking key dates, ownership, required support, and deliverables
  • Liaise with event vendors and conference organizers to manage event-related logistics and requirements
  • Support the preparation and distribution of event-related materials and communications in coordination with Marketing for corporate-sponsored events and with Sales/Commercial stakeholders for sales-led events

Event Outreach Execution and Follow-Up

  • Execute targeted pre-event outreach to biotech and pharmaceutical clients and prospects based on the event strategy, audience priorities, and commercial objectives defined with Marketing and Sales/Commercial stakeholders
  • Develop and maintain event-specific outreach messaging and flow sequences for pre-event invite outreach, meeting confirmation, on-site engagement, and post-event follow-up, ensuring content is tailored by audience, account priority, and event objective
  • Utilize commercial intelligence platforms including LinkedIn Sales Navigator, Zymewire, Citeline, and Pitchbook to identify and research target attendees and accounts ahead of events
  • Leverage sales enablement platforms (e.g., Seismic, Highspot) and sales engagement automation tools (e.g., Gong Engage, SalesLoft) to support event-related outreach and communications
  • Coordinate on-site engagement activities during events, supporting Inside Sales Representatives, Sales/Commercial attendees, and Marketing partners as needed to maximize meeting execution and client engagement
  • Support roadshow execution by coordinating attendee outreach, meeting confirmations, client-facing schedules, briefing materials, and post-roadshow follow-up activities in partnership with Sales/Commercial stakeholders
  • Execute post-event follow-up outreach to attendees and prospects, ensuring timely and accurate logging of all interactions in Salesforce CRM
  • Support the development and execution of event-related email and campaign communications, ensuring corporate-sponsored event outreach aligns with Marketing strategy and sales-funded event outreach aligns with commercial account priorities
  • Coordinate approval and version control of messaging and campaign assets with Marketing, ensuring final materials are ready for use in sales engagement tools and aligned with brand, compliance, and commercial standards

CRM and Data Management

  • Maintain accurate and up-to-date records of all event-related outreach activity, client interactions, and follow-up status in Salesforce CRM
  • Support the preparation of event performance reports and summaries for the Senior Manager, Global Commercial Operations and Enablement

  • Track and report on event outreach metrics including meetings scheduled, attendee engagement, and post-event follow-up activity
  • Ensure event-related contact and account data is accurately captured and maintained in Salesforce CRM
  • Contribute to the maintenance of target account and contact lists used for event outreach and campaign execution

  • Create and support outreach campaigns for sales-led client events and roadshows, including account-based invitation strategies, meeting-generation workflows, and coordinated follow-up sequences before and after each event
  • Coordinate event-related campaign activities across Inside Sales, Marketing, and Sales/Commercial teams to ensure messaging, target lists, outreach timing, and follow-up expectations are aligned

  • Share feedback and observations from event outreach activities to inform ongoing campaign optimization
  • Collaborate with Marketing on corporate-sponsored event messaging and materials, and with Sales/Commercial stakeholders on sales-funded event positioning, target accounts, and follow-up priorities

  • Communicate event meeting logistics, outreach plans, and performance updates to relevant internal stakeholders in a timely manner
